Travel Award

Deadline for Submission of Papers for ISBI 2014 Travel Award is extended to Oct 14, 2013, 11:59pm EST.

The paper should be submitted via embs.papercept.net first and then (as a separate submission) nominate it. You cannot submit a paper to a Travel Award. Only a paper “already submitted” can be nominated.

Deadline for Submission of Nomination Form to TRAVEL AWARD  by Advisor: 1 October 2013.

The IEEE Engineering in Medicine & Biology Society and SPS is pleased to announce ISBI Travel Award  for EMBS and SPS Student Members (Graduates and Undergraduates). Students should submit their entry to the Conference as a Contributed Paper (4-page format) before 1 October 2013.

Each student’s Faculty Advisor will be required to endorse their student’s submission by submitting a Nomination Form between 1 August and 1 October 2013. Failure to submit the accompanying Nomination Form within the submission window will invalidate the respective student paper submission for consideration in the Travel Award .

Submissions will be evaluated on their originality, scientific merit and impact, and clarity and organization structure of technical presentation. All submissions will be peer-reviewed and evaluated by the Travel Award  committee for selection of finalists. All finalist students must attend the ISBI Conference and present their papers as a presentation that was communicated in your presentation approval email at a special Travel Award  session.

The top 3 finalist students may receive a complimentary conference registration. Finalist students may receive partial travel support depending on availability of funds. First, second and third place winners will be selected and recognized in the opening ceremony with signed certificates.

ISBI 2014 Travel Award  Guidelines

Students interested in participating in the Travel Award  should:

  • Create a profile in the Conference Paper Management System or update an existing Profile.
  • Submit their entry to the ISBI 2014 Conference as a Contributed Paper by 1 October 2013 at 11.59pm EST (NY Time).
  • Inform their advisor’s that they should also submit a Nomination form for their student’s entry between 1 August and 1 October 2013 at 11.59pm EST. The advisor is expected to verify both student status and EMBS membership.
  • Upload the Nomination form at EMBS System . Click on “Submit a Contribution to ISBI 2014″ and then click on “Submit” (to the right of student award paper nomination). Your advisor is expected to upload the form if he/she is a co-author on your paper. If he/she is not a co-author, you may upload the form on your advisor’s behalf. The nomination form MUST be uploaded before 1 October 2013 at 11:59pm EST.
  • The student must be the first author of the paper and a member of the EMB or SPS society at the time of paper submission or prior to 1 October 2013.
  • A student may submit only ONE entry in 4-page paper format for the Travel Award  but may submit additional papers for regular consideration.
  • Late Breaking 1 page papers are not eligible for the award.
  • Guidelines for 4-page format manuscript preparation are available on the conference website under the “Paper Submission” section. These guidelines must be followed. All papers must be within the 4-page limit. For Travel Award , extra page is not permitted.
  • TRAVEL AWARD  paper submissions (received by 1 October 2013) without a faculty advisor’s Nomination Form will not be considered in the Travel Award . Log-in to the Paper Management System, select the link to upload the Nomination Form and complete the required fields (Note: Proposer = Advisor). Do not fax, e-mail or mail the nomination forms to the Executive Office as submissions done this way will not be considered in the Travel Award .
  • Sign a copyright form if the paper has been accepted. All accepted papers will be published in Xplore after the conference.
  • All foreign nationals must obtain a Visa. The Visa process could take months. Please see the conference website for details. Any student denied entry to the country due to late Visa processing will be counted as a no-show.

The Review Process and Finalists

TRAVEL AWARD  submissions will be reviewed by the Conference Editorial Board for their suitability to be included in the technical program of the Conference. Those receiving high scores in the initial review will then be reviewed by the TRAVEL AWARD  Committee to short-list the Finalists. The nomination by faculty advisors is a very important document here.

The finalists will be selected by the TRAVEL AWARD  Committee based upon the review outcome.

  • Ten (10) Finalists with the highest review scores may be selected in an Open Travel Award  globally in the TRAVEL AWARD .
  • The awards will be announced and presented in the opening ceremony.

Any student wishing to have his or her entry withdrawn if it is not selected as a Finalist should have their Advisor clearly indicate this by checking the corresponding box when submitting the TRAVEL AWARD  nomination form.

The top 3 Finalists may receive complimentary Conference registration (reimbursable 30 days after the conference concludes with backup). According to IEEE policy, students must submit a completed W8 or W9 IRS Form and IEEE Expense Reports with original receipts after the Conference in order to be reimbursed.

Each Finalist must attend the Conference and present his or her paper in the regular conference program as a presentation that was communicated in your presentation approval email – no substitutes will be permitted**. A panel of judges will carefully review each presentation. First, Second, and Third place winners will be selected based on the technical merits of the work, professionalism of the presentation, and verbal communication skills.
